Valhalla Armory User Manual

1. Core concepts

Read this once — it explains how the whole app behaves.

• Everything is offline and on-device. All of your records live in an encrypted database on your phone. Nothing is uploaded to any server. The app works fully in airplane mode.
• Encryption. Your data is encrypted with AES-256-GCM. The key is protected by your password and stored in the device's secure hardware store. Nobody can read your data without unlocking the vault.
• No online account, no password reset. There is no cloud account. If you forget your password, the only way back in is your Recovery Key (created during setup). Keep it safe.
• You own your backups. The app never backs up automatically to a cloud. You create your own encrypted backup files (.vabackup) when you choose, and store them wherever you like.
• Free vs Premium. The app is free to use for up to 3 records in each of several core categories. A one-time, lifetime Premium purchase unlocks unlimited records and every advanced tool. See section 19. No collection data is ever sent for billing.
• History is preserved. Ledgers (ammunition, components) are append-only, and reports can be snapshotted so past documents never change even when you edit records later.

2. Getting started (first launch & onboarding)

The first time you open the app you complete a 6-step secure setup. A progress bar at the top shows how far along you are.

1. Welcome. Introduction screen. Tap Begin Secure Setup.
2. Create Local Account. This account exists only on this device.
   • Username — at least 3 characters (e.g. odin).
   • Password — must satisfy all five rules shown live: at least 12 characters, one uppercase, one lowercase, one number, one special character. A strength meter (Weak / Fair / Strong) updates as you type.
   • Confirm Password — must match. Tap Continue when the form is valid.
3. Enable Biometric Unlock (optional). If your device has Face ID / Touch ID / fingerprint enrolled, tap Enable [biometric] to allow quick unlock, then Continue. Otherwise tap Use Password Only. Biometrics are handled by your device; the app never stores biometric data. (Biometrics are unavailable in the web browser preview.)
4. Your Recovery Key. A grouped key like XXXXX-XXXXX-… is shown. Tap Copy to copy it, and store it somewhere safe (password manager, printed copy in a safe). To prove you saved it, re-type the two highlighted groups into the fields provided, then Continue. This key is the only way to recover access if you forget your password — the app cannot reset it.
5. Local Data, Local Responsibility. Read the five statements (your data is only on this device, uninstalling/resetting may remove it, you must make your own backups, Asgard Solutions cannot recover it). Tap I Understand and Accept, then Continue.
6. Your Vault is Ready. Finish by tapping Enter My Armory, or Create First Backup to jump straight to the backup screen (recommended).

3. Unlocking, locking & signing in

The Lock screen appears whenever the vault is locked.

• Biometric unlock. If enabled, the biometric prompt appears automatically when you open the screen; you can also tap Unlock with [biometric].
• Username & password. Tap Use Username and Password, enter your password (and username, if you fully logged out), then Unlock / Sign In.
• Recovery Key. Tap Use Recovery Key (or Forgot password? Use Recovery Key), paste your key and tap Unlock with Recovery Key. This is the fallback if you forget your password.
• Failed attempts & lockout. Repeated wrong passwords are counted; after too many the app imposes a short countdown ("Try again in Ns") before you can try again. This protects against guessing.

Two ways to leave the vault (from the Home header or the More tab):

• Lock (padlock icon) — keeps your username on file for fast re-entry (biometrics/password).
• Log Out (exit icon) — clears the session; next time you must enter both username and password (or use biometrics/recovery). Choose this on shared or lost-risk devices.

Either way, your data stays encrypted on the device.

4. Getting around the app

The More tab is the directory to everything. Rows marked PREMIUM are locked until you unlock Premium. Groups and rows:

The '+' button (Floating Add)

Most list screens have a round + button in the bottom-right corner.

• On screens with one kind of thing to add, it opens the new-item form directly.
• On screens with several, it opens an Add sheet listing the options; tap one.

Universal navigation

• A back arrow / '‹' at the top-left of any detail or form returns to the previous screen.
• Tapping a row in any list opens that record's detail screen.
• Pull down on most lists/dashboards to refresh.

5. Home dashboard

Where: the Home tab. Purpose: an at-a-glance status of your collection and anything that needs action.

Header: greeting + your username on the left; on the right, a Search icon, a Lock icon, and a Log Out icon.

Security strip: confirms Storage: On this device and shows when your last Backup was (or 'None yet').

Summary cards (4):

• Active Firearms — count of firearms not sold/archived.
• Total Rounds — all ammunition rounds on hand, with a 'factory · reloaded' breakdown.
• Maintenance Due — number of overdue reminders.
• Est. Value — total estimated value of firearms + optics + accessories. Tap the eye icon to hide/show this figure (useful in public).

Quick actions (4 shortcuts): Add (new firearm) · Ammo (new factory ammo) · Range (new range session) · Maintain (new maintenance log).

Needs attention: a prioritized list that automatically surfaces:

• Maintenance/permit reminders that are due (red) or approaching within 14 days (amber).
• Low ammunition (a lot below its low-stock threshold, default 50 rounds).
• Low reloading components.
• Optic battery older than ~1 year.
• No backup yet, or backup overdue (older than your reminder interval). Tap any item to jump to the relevant screen. When nothing is pending it shows "All clear."

Recent activity: the last few actions, newest first. Pull down to refresh the whole dashboard.

6. Armory tab (your equipment)

Where: the Armory tab. Purpose: browse, search, filter and manage all of your physical equipment.

Category chips (top): Firearms · Optics · Suppressors · Magazines · Parts · Accessories · NFA · Missing / Stolen · Archived. Tap a chip to switch category.

View modes: toggle between List, Grid (photo tiles), and Table (compact spreadsheet with configurable columns).

Search & filter: the search box filters the current category by text. Additional filters (by storage location, tags, status, etc.) and sorting are available from the controls on the screen.

Table columns: in Table view, open the column configuration to choose which columns are visible and their order (per category). Your choice is remembered.

Bulk actions: enter selection mode to select multiple items, then apply a bulk action — add tags, set storage location, or archive. Bulk actions run safely and report results.

Saved Views: apply a saved smart filter to the list via Open in Armory (see section 18).

Adding & archiving:

• Tap + to add an item of the current type (or choose from the Add sheet).
• Open an item to edit, add photos, or archive it. Archived items move to the Archived category and are excluded from active counts but never deleted.

Missing / Stolen: items whose status you set to missing/stolen appear here for quick reference.

7. Firearms

Add a firearm: Armory → Firearms → + (or Home → Quick action Add). Fill in details such as manufacturer, model, type, serial number, caliber, purchase info, estimated value, storage location, tags, and notes, then Save. Required fields are marked; incomplete entries can be saved as Drafts (see section 18).

Firearm detail screen lets you:

• Edit any field.
• Photos — open the photo manager to add/reorder images (stored encrypted on-device).
• Acquisition — record how/when/where you acquired it (and correct it later; corrections are audit-logged).
• Disposition — record a sale/transfer/loss. This updates status (e.g. Sold or Transferred) and removes it from active counts while keeping the historical record.
• Recovery — record recovery of a previously missing/stolen firearm.
• Maintenance — log cleaning/service against this firearm.
• Round count — total rounds fired through it accumulate from range sessions.
• Serial masking — if enabled in Security, serials display masked (e.g. ••••1234).

Ownership history: acquisition, disposition and recovery events form a complete chain of custody for each firearm, available in reports.

8. Optics, Accessories, Magazines, Parts

These work like firearms: choose the category in the Armory tab, tap + to add, open a record to edit/photograph/archive.

• Optics — scopes/red dots/lasers. Track model, magnification, mount, battery type, and battery replaced date (drives the 'battery check' reminder on Home). Can be associated with a firearm.
• Accessories — lights, slings, cases, tools, etc., with value and storage location.
• Magazines — capacity, caliber, quantity, condition; reliability is tracked from malfunction logs. Magazines can be referenced in competition/range logs.
• Parts — components fitted to firearms (triggers, barrels, springs). Parts can have service intervals (round-count based) that raise 'due for service' signals.

9. Ammo tab & ammunition lots

Where: the Ammo tab. Purpose: track ammunition on hand as lots, split into Factory and Reloaded, with live round totals.

• Top stats: Factory · Reloaded · Total rounds. Low stock items are flagged.
• Add ammunition: tap + / Add Ammunition and enter caliber, product/bullet, quantity (rounds/boxes), cost, source (factory or reloaded), lot number, purchase date, low-stock threshold, and storage location.
• Ammo lot detail: shows the running balance. Ammunition is an append-only ledger — using rounds at the range or producing rounds via reloading creates ledger transactions rather than overwriting the count, so history is preserved. Set a low-stock threshold to get a Home "Needs attention" alert when it drops below.
• Barcode: you can populate ammo details by scanning a UPC (see Barcode Scanner).

10. Reloading

Where: More → Shooting & Performance → Reloading. A hub for handloading. (Premium.)

• Components — inventory of brass, bullets, powder, primers and other supplies with quantities, units, cost, and low thresholds. Add Reloading Component to add; the list flags low stock (which also appears on Home).
• Load Recipes — saved recipes: cartridge, bullet, powder + charge weight, primer, brass, COAL, and notes. Create Load Recipe to add; open a recipe to edit or start a session from it.
• Reloading Sessions — Start Reloading Session to produce ammunition: pick a recipe, enter rounds produced; the session consumes components (decrementing their inventory via ledger transactions) and adds a reloaded ammo lot. Individual session records are viewable.
• Completed Batches — history of produced batches for traceability and reports (component consumption, combined finished ammo, etc.).

Everything is transactional: producing ammo consumes components and creates finished-ammo balances in one consistent operation, and all of it feeds the reloading reports.

11. Shooting & performance

All under More → Shooting & Performance.

Range Sessions

Log range trips. Add a session with date, location, firearm(s) used, ammunition consumed (deducted from lots), rounds fired, weather, and notes. Rounds fired roll up into firearm round-counts and Total Rounds on Home. Open a session to view or edit it.

Range Checklists

Build range-bag / trip checklists, optionally from templates. Create a template (Templates → new), then start a checklist to pack items (including from your inventory) and check them off. After a trip you can turn a checklist into a logged session.

Malfunctions & Reliability

Record stoppages (type, firearm, magazine, ammunition, round count, notes). The Reliability view computes reliability statistics by firearm, magazine, and ammunition so you can spot problem combinations. Add from the + button.

Competition & Drills

Score matches and practice. Add a competition/drill record (discipline such as USPSA/IDPA/Steel Challenge, stages, times, hits, penalties). The app computes hit factor and related metrics. Open a record for stage-by-stage detail.

Ballistics & DOPE

An offline trajectory solver.

• Calculator — enter muzzle velocity, ballistic coefficient (G1/G7), sight height, zero range, and environment (temperature, pressure/altitude, wind) to compute a drop/wind table.
• DOPE cards — save a solution as a DOPE card tied to a firearm/load for quick reference at the range. Open a card to view or recompute it.

Group Analysis (Target)

Measure shot groups from a photo of your target. Add a target, set the scale/reference, tap the shots, and the app calculates group size (extreme spread), mean radius, and MOA/MIL at your distance. A trends view tracks group performance over time.

12. Compliance & records

All under More → Compliance & Records.

NFA Items

Track suppressors, SBRs, machine guns, etc. Add an item with type, manufacturer/model, serial, Form type (Form 1/3/4), trust/individual, tax stamp amount, and key dates (filed, approved). Field corrections are audit-logged (an amendment trail). NFA items also appear in the Armory NFA category and in reports.

Permits & Credentials

Store CCW permits, licenses, training certificates, memberships. Add with type, issuer, numbers, issue/expiry dates, and attached documents. Expiring credentials surface via Reminders.

Documents

An encrypted store for receipts, forms, certificates, and photos of paperwork. Add a document (document/new), attach a file/photo, tag it, and optionally associate it with a record. Documents can be included in or excluded from generated reports.

Reminders

Deadlines for permits, NFA follow-ups, and maintenance. Reminders that are due or approaching appear in Home → Needs attention. Mark them complete when handled.

13. Inventory tools

All under More → Inventory Tools.

• Barcode Scanner — scan UPC/EAN barcodes on ammo/components. Lookups use an offline saved-product catalog; scanned products can be saved so future scans auto-fill. (Requires camera permission; the app asks the first time and, if you decline, offers a path to enable it in Settings.)
• Batteries — track batteries in optics/lights/lasers: type, where used, install/replace date, spares on hand, and expiry. Items needing attention (due for replacement/low spares) are counted.
• Consumables — springs, gas rings, desiccant, cleaning supplies, and items with service intervals. The hub highlights what's low or overdue for service.
• Storage Locations — define safes, cases, rooms, etc. Assign items to a location and filter by it.
• Customization — tailor the app:
  • Custom Fields — add your own fields to any item type (text, number, date, yes/no, choice). They appear on forms, in the table, in exports, and in imports.
  • Options — manage the choice lists used by dropdowns.
  • Tags — create/rename tags used across records.
  • Drills — define reusable drill templates for Competition & Drills.
• Global Search — see section 18.
• Saved Views — see section 18.
• Drafts — see section 18.

14. Insights & reports

All under More → Insights & Reports. (Premium.)

Analytics

On-device dashboards (no internet). Sub-views:

• Collection — counts, value, composition.
• Ammunition — inventory, consumption, cost per round.
• Range — rounds fired, sessions over time.
• Reliability — malfunction rates by firearm/mag/ammo.

Reports (predefined)

One-tap exports as PDF and/or CSV, including: Armory Inventory (complete or by category), Acquisition & Disposition Report, Factory Ammo Inventory, Combined Finished Ammo, Component Consumption History, Completed Batch History, Batteries & Consumables, Credentials, and more. You can choose to exclude attached documents. Files open in the system share sheet to save/send.

Report Builder

Compose a custom PDF: pick a purpose (insurance, estate, NFA, build sheet, etc.), choose which record types and fields to include, ordering, and whether to attach NFA documents. Save configurations as report templates to reproduce later. Snapshotting keeps a generated report faithful to the data at that time.

15. Import data

Where: More → Data & Vault → Import Data. Bring records in from CSV or JSON. A 5-step wizard walks you through it; files are parsed entirely on your device (≤5,000 rows / ≤8 MB).

Supported targets (nine): Firearms, Factory Ammunition, Reloading Components, Optics, Accessories, Magazines, Parts, NFA Items, Credentials.

Steps:

1. Source. Choose what you're importing and the source format, then Choose CSV or JSON file. Not sure about the format? Use the built-in helpers:
   • Download CSV template — a ready-to-fill file with the exact columns and one example row.
   • JSON template — the same as a single-record JSON array.
   • Field guide — a reference listing every field: whether it's required, its type, allowed values (for choice fields), and an example. Build your file from these so it imports cleanly the first time. Templates include any custom fields you've defined for that type.
2. Map. Match your file's columns to the app's fields. Common columns are auto-mapped; adjust any that aren't. Required fields must be mapped. You can save the mapping as a template for reuse.
3. Preview & Validate. Every row is checked. Use search, the filter chips, and Next error / Next duplicate to review. Expand a row to see each cell's original vs converted value. Set each row's action (New / Skip / Merge). Export problem rows via Export errors as CSV to fix and re-import.
4. Options. Bulk-handle duplicates (Skip all / Import as new). The whole import runs in a single transaction with automatic rollback — if anything fails, nothing is changed. Optionally also create a portable backup first (passphrase-protected).
5. Done. A summary shows imported / merged / skipped / duplicates / errors. Ammo & component imports record opening-balance ledger transactions. An import audit record is saved.

16. Data & vault

All under More → Data & Vault.

Backup & Restore

Create and restore encrypted local backups (.vabackup).

• Create Encrypted Backup — set a Backup Passphrase (and confirm it); the app produces an encrypted file you save/share wherever you like. This passphrase is separate from your vault password — remember it, as it's required to restore.
• Validate Backup — check a backup file is readable and intact without changing anything.
• Restore & Replace Vault — restore from a backup file. This replaces your current vault, so it requires your Account Password and a confirmation. A safety copy of the current data is taken before the restore is applied so a bad/tampered file can never corrupt your vault.

Premium: creating and restoring backups requires Premium. Restore Purchases (billing) is a different action from Restore from Backup (your data).

Data Management

• Storage usage and cleanup tools.
• Archived Records — view archived items (also under Armory → Archived).
• Barcode Product Catalog — import/export your saved scan products.
• Export Records & Reports and Create/Restore Encrypted Backup shortcuts.
• Danger Zone → Erase Entire Vault — permanently wipes all local data. Requires your Account Password and explicit confirmation. This is irreversible; make a backup first.

Security

• LOCKING
  • Automatic Logout Time — how long before the app locks itself.
  • Lock When App Is Backgrounded — lock immediately when you switch apps.
  • Require Password Periodically — force a full password unlock at intervals even if biometrics are on.
• PRIVACY
  • Hide Collection Value — hide monetary values by default (also toggled from Home).
  • Mask Serial Numbers — display serials partially masked.
  • Blur Recent-Apps Preview — obscure app content in the device app switcher.
  • Reauthenticate Before Exports — require unlock before exporting/backing up.
  • Save Username — keep the username on the lock screen for faster sign-in.
• Account Password — Change Password (enter current + new + confirm).
• Recovery Key — Generate New Recovery Key to replace/rotate your key (copy and store the new one immediately).
• Enable/disable biometric unlock here too.

About

App version and build channel, credits, links, and RevenueCat diagnostics (masked App User ID, ID type, migration status) with Copy Diagnostics (never exposes your full ID or keys). Non-production builds show a "NOT FOR SALE" badge.

Privacy Statement

A read-only screen (More → About → Privacy Statement) that states, in plain language, exactly how the app handles your data. It lists seven points:

• Local only — all records, photos and documents are stored only on this device. Your firearm inventory, notes and serial numbers are never uploaded to Asgard Solutions or any server.
• Offline by default — every armory feature works fully in airplane mode. Network access is limited to Premium purchase or restoration, RevenueCat entitlement verification, application updates, and external links or sharing that you select.
• Encrypted at rest — sensitive record values and private files are protected with AES-256-GCM authenticated encryption; the cryptographic keys are held in the device Keychain / Keystore.
• Purchases — Premium is an optional one-time in-app purchase processed by the App Store or Google Play, with RevenueCat verifying your Premium status. Only purchase and receipt data are involved — your inventory, photos, notes and serial numbers are never sent to RevenueCat.
• No tracking — there is no analytics, advertising, telemetry, marketplace, or social feature. The developer has no visibility into how you use the app.
• Biometrics stay on-device — Face ID / Touch ID / fingerprint auth is handled entirely by your operating system; Valhalla Armory never sees or stores your biometric data.
• You hold the keys — there is no online account and no password reset. Your password and recovery key are the only ways in, so keep them safe.

17. Activity tab

Where: the Activity tab. A chronological, searchable log of everything that happened in your vault — records created/edited/archived, sessions logged, imports, backups, and more. Tap Log Activity to add a manual note/event. Use it as an audit trail and to jump back to related records.

18. Global search, Saved Views & Drafts

• Global Search — from the Home header search icon or More → Inventory Tools. Search across every record type at once; tap a result to open it. (Keyboard shortcut / on web.)
• Saved Views — build a smart filter (conditions across fields) and save it. Open a view to see matching records, or Open in Armory to browse the filtered list with full tools. Great for "all 9mm pistols", "expiring credentials", "parts due for service", etc.
• Drafts — any half-finished form can be saved as a draft and resumed later. The Drafts screen lists unfinished entries with a count; open one to continue exactly where you left off. Drafts also protect your work if you're interrupted mid-entry.

19. Valhalla Premium (free vs premium)

Where: More → Membership → Valhalla Premium.

Valhalla Armory is free to use. A single one-time, lifetime Premium in-app purchase unlocks everything. There is no subscription and no recurring fee.

Free tier includes: the secure local vault, recovery key and all security/privacy controls, and up to 3 records in each of these categories — firearms, optics, accessories, ammunition, range sessions, zeros, maintenance — plus basic records and photos.

Premium unlocks: unlimited records in every category, plus backup create/restore, CSV/JSON import & exports, reloading, analytics, ballistics & DOPE, group analysis, barcode scanner, NFA, permits & credentials, parts & builds, magazines, batteries & consumables, malfunctions & reliability, ownership history, competition & drills, range checklists, custom fields, Saved Views, table mode, bulk actions, and record duplication.

How limits behave: if you're on the free tier and already at the limit in a category, you can still view and edit everything you have — only creating a new record in a full category is blocked, with a prompt that keeps your in-progress entry. Locked features show a PREMIUM badge; a locked screen offers an upgrade path.

Buying / restoring:

• On the Premium screen, tap the purchase button (it shows the live localized price from the store). Complete the purchase through Apple/Google.
• Restore Purchases re-applies a previous purchase on a new install or device.
• Purchases work only in the installed App Store / Play Store app (not the web preview).
• Privacy: billing only confirms your purchase and entitlement — no armory data is ever sent.
• Your Premium status stays active offline.

20. Common actions & patterns

• Add a record: tap + (or a Home quick action / the More menu), fill the form, Save.
• Edit: open a record → change fields → Save.
• Photos: open a record's photo manager to add from camera/library (encrypted on-device; camera/ library permission requested contextually).
• Archive vs delete: Archive hides an item from active lists but keeps it (find it in Armory → Archived). True deletion happens only via Erase Entire Vault. Sales/losses use Disposition, which preserves history.
• Save a draft: leave a form incomplete and choose to save a draft; resume from Drafts.
• Search: the Home search icon or Global Search finds anything.
• Filter & sort lists: use the search box, filter controls, and (in Table view) column config.
• Bulk edit: enter selection mode in the Armory list to tag / set location / archive many at once.
• Export/share: reports and exports open the system share sheet to save or send the file.
• Refresh: pull down on lists/dashboards.
• Permissions: the app asks for camera/photos only when you use a feature that needs them, and explains why first. If you declined earlier, it shows an Open Settings button to enable them.

21. Troubleshooting & FAQ

• I forgot my password. Use your Recovery Key on the lock screen (Use Recovery Key). If you also lost the recovery key, the vault cannot be opened — this is by design (no backdoor). You'd need to erase and start over (losing local data unless you have a backup).
• I'm locked out after wrong passwords. Wait for the countdown shown on screen, then try again, or use your Recovery Key.
• Biometrics won't work / not offered. Ensure biometrics are enrolled on the device and enabled in Security. Biometrics never work in the web browser preview.
• A feature shows a PREMIUM badge / a locked screen. That feature requires Premium — see section 19.
• I can't create another firearm/ammo/etc. (free tier). You've hit the 3-record free limit for that category. Existing records still work; unlock Premium for unlimited.
• My import failed / rolled back. Nothing was changed. Fix the flagged rows (use the field guide and Export errors CSV) and re-run. Download a template first if unsure of the format.
• Purchases/Restore not working in the browser. In-app purchases only work in the installed iOS/ Android app, not the web preview.
• Where are my backups? Wherever you saved the .vabackup file when you created it. The app does not store them for you or upload them anywhere.
• Will uninstalling delete my data? It can. Keep a current encrypted backup.

22. Glossary

• Vault — your encrypted on-device database of all records.
• Recovery Key — a one-time-generated key that unlocks the vault if you forget your password. The only recovery method.
• Lot (ammunition) — a batch of ammo tracked with a running, append-only balance.
• Ledger / append-only — quantities change by recorded transactions, so history is preserved and never silently overwritten.
• DOPE — "Data On Previous Engagements": a saved trajectory/come-up table for a firearm+load.
• Hit factor — a competition score = points ÷ time.
• NFA item — a firearm/device regulated under the National Firearms Act (suppressor, SBR, etc.).
• Credential — a permit, license, certification, or membership you store and get reminders for.
• Saved View — a saved smart filter you can reopen or apply in the Armory.
• Draft — an unfinished form saved to resume later.
• .vabackup — the app's encrypted, passphrase-protected backup file format.
• Premium entitlement — the one-time lifetime unlock that removes limits and enables advanced tools.
• Archive — hide a record from active lists without deleting it.
